  The Protection of Personal Information Act (POPIA) has made it necessary for all companies to reconsider how they treat the personal information of customers, staff and suppliers. This can be a daunting task, because POPIA creates new rules for every aspect of the ‘information lifecycle’ – from collecting it to destroying it.

To ensure compliance with the POPIA, an organisation should appoint a Deputy Information Officer (DIO). A DIO is tasked with:
 
  ensuring that a POPIA compliance framework is developed, implemented and monitored  
  creating adequate measures and standards to ensure there is POPIA compliance  
  conducting preliminary assessments  
  developing a new PAIA manual  
  dealing with requests from the Information Regulator (IR)  
  conducting awareness sessions with the business  
  working with the IR when there is an investigation  
 


The Company Secretary is most likely to be appointed as the DIO and as such will need to ensure that he or she is familiar with the role of the DIO.
